  • Influence on the capacity planning feature's roadmap with your real-world input

See who's drowning in tasks and who has room

Stop the Friday scramble with clear visibility into every engineer's project workload for the next 3+ months with:

Visual Team Capacity View Compare assigned project hours against each engineer's actual available hours every week so you know who is working on what.

Overload Heatmaps Red bars show who's scheduled for more hours than they can work, and yellow shows who's close to capacity.

Skill-Based Assignment Import engineer skill levels from your PSA to assign the right person to each project type.

Tell clients the truth about project timelines

Give accurate start and completion dates so you can see when your team has capacity.

  • Account for both scheduled project work and expected ticket hours so you see your team's total workload rather than partial data.
  • Control burn rates for block time agreements so clients don't use all their hours in week one
  • Test different project schedules before committing to anything
  • Plan work by the week, not by the hour. This approach reflects how project work really gets done.
  • Adjust each person's available hours for vacation days, training, or internal meetings.

Note: Not all features will be available in the first version.

We'll help you get this running without disrupting your work

TopLeft provides hands-on help getting capacity planning working for your team. Our 12-week implementation gets you from spreadsheets to clarity without breaking what's already working.

What we'll do together:

  • Weeks 1-3: Get your projects imported and set up realistic capacity for each team member
  • Weeks 4-6: Configure skill matching and start weekly planning meetings
  • Weeks 7-9: Fine-tune how you account for ticket work vs. project work
  • Weeks 10-12: See whether projects are being delivered on time, and rebalance workloads if someone is overloaded.

In the first version of our Capacity Planning, you would need to add them as projects in your PSA. They wouldn’t need a full ticket breakdown, just a budget and team members. In future versions, we’ll enhance the capacity planning feature to show MSPs sales opportunities that haven’t yet been converted to projects.

The initial version may not have $$ billing amounts. However, we plan to add billable amounts, fixed-fee totals, and progress billing milestones in the future.

Unlike other tools that save immediately, you can drag projects around, change assignments and adjust hours. Nothing saves to your PSA until you explicitly tell it to.

Right now, you can manually adjust hours week by week. We may build automatic phase handling so you can say "discovery is 40 hours in week 1, then 10 hours/week after that." However, if we do, this will be done sometime in the future.

You can set up different views for different teams, just like you probably already do with your Kanban boards. The network team plans their work, the infrastructure team plans theirs, and you can see everything together when needed.
